Established in 1993, GLL is a charitable social enterprise and worker cooperative. They operate over 240 leisure centres, 120 libraries and 15 children's centres in partnership with 60 local councils, public agencies and sporting organisations.

GLL had the responsibility of managing a large, geographically dispersed network of facilities requiring efficient and secure printing and scanning capabilities.
Traditional methods involving costly VPN connectivity and complex IT network configurations were not ideal due to their high maintenance and operational costs. As a result, GLL needed a solution that was easy to install and manage while meeting core business requirements.

KCPS has been easy to implement and integrate with our existing fleet of MFDs and deploy to our user base.
KCPS was implemented seamlessly across GLL's facilities with several key benefits, including a straightforward installation and efficient rollout. Users can now release their prints securely from any device in any location, eliminating the need for an expensive VPN connection. The desktop clients and multifunction devices (MFDs) communicate directly to the cloud on a secure outbound port 443, which means that no additional IT network configuration is required.
KCPS is rolled out via Microsoft Intune - in the case of GLL - allowing users to scan directly to themselves without the need to select or enter an email address. Additionally, users can access their OneDrive account directly from the MFD to print from or scan to, which streamlines workflows to ensure that documents can be accessed from the right place. To further enhance security and convenience, users can log on with either a unique PIN code or an RFID swipe card.
The admin portal can be set up in minutes, requiring only lightweight configuration options and guaranteeing rapid deployment. The solution also includes built-in email configuration functionality, which removes the need to set-up email accounts for each MFD individually and avoids the use of outdated authentication methods.
The implementation of KCPS has streamlined GLL’s document management processes, enhanced security and reduced the need for extensive IT configuration. This solution has enabled staff to work more efficiently, securely and effectively, ensuring that services run smoothly across all locations.
